Product image syndication works when each retailer receives the right product revision, variant and image role—not simply access to a shared folder. Keep one approved source package, derive the files each destination needs, and record what the retailer actually published. A successful upload is the start of receiving inspection, not its completion.
This is especially important for furniture brands selling the same family through a direct store, dealer network and marketplace. A retailer’s item number may differ from your SKU. Its portal may accept the image while associating it with the parent product rather than the selected fabric.
Build a recipient map before exporting
Use one row per product configuration and destination. Include your SKU, retailer item ID, material code, source revision, requested role, output filename and destination URL. Keep parent-family identifiers in a separate column. Otherwise a sofa family photograph can silently replace a specific three-seat configuration.
Ask the receiving team for its current requirements: dimensions, background, allowed overlays, file type, maximum size, naming and how supplementary images attach. Do not copy a marketplace specification into every retailer’s brief. For Google feeds, the official image_link documentation distinguishes the primary product image from supplementary image attributes.1
| Record | Purpose | Receiving check |
|---|---|---|
| Brand SKU + retailer item ID | Connect two naming systems | Open the correct listing |
| Configuration + source revision | Identify the actual product | Compare finish and components |
| Image role + destination slot | Preserve sequence | Confirm hero and details |
| Sent file hash + date | Identify the submitted bytes | Compare against the accepted package |
| Published URL + receipt | Close the handoff | Inspect the public page |
Separate source truth from channel formatting
Keep geometry, material assignment and included components in the source configuration. Background, crop and file encoding belong to the destination build. A retailer requiring a different aspect ratio does not create a new product variant.
For example, a chair in two finishes with three required views produces six distinct view-and-finish images. If two retailers request different encodings, that can create twelve delivered files without creating twelve products. Put both counts in the brief so quotes and coverage reports remain understandable.
Use the file naming guide to make exported names readable, but treat the recipient map as the authority. Filenames alone cannot express every receiving-system association.
Pilot one difficult configuration
Choose a product with a finish variant and an optional component. Send a small package through the real receiving route. Ask the retailer to confirm the selected color, accessory status and gallery order on the published page. Save the receipt and the public URLs.
If the wrong image appears, diagnose the association before producing another render. Correct bytes attached to the wrong retailer item require a mapping fix; the same incorrect finish in every file requires a source correction. Keep those issue types separate in the change request.
Maintain a correction ledger
When a finish changes, identify the affected source configuration and list every destination using it. Issue replacements with an explicit superseded revision. Record whether each recipient acknowledged the update, whether its page changed and which old URLs remain visible. A global “complete” status hides unfinished destinations.
Download the recipient receipt sheet and leave publication and acceptance fields blank until checked. Use the image update workflow for source-level change impact.
Common questions
Is a digital asset management folder enough?
It can hold approved files, but you still need configuration mapping, recipient requirements and receiving evidence. The folder answers where a file lives; the ledger answers who uses which revision.
Should every channel get the same hero image?
Keep product identity consistent. Choose the crop and presentation according to the destination’s requirements and the shopper’s task.
Where does Rendora fit?
Use the product option library to build a valid configuration and its image package. Retain retailer upload receipts separately; the current tool does not automatically publish into retailer portals.
